KVKK Privacy Notice

This notice explains, as required by Article 10 of Turkey’s Personal Data Protection Law No. 6698 (“KVKK”), how we process the personal data you share with us when you register for the UniQ UK Universities Meeting and on the event day.

01Data controller

Your personal data is processed by First Edumate Öğrenim Dostu Eğitim Hizmetleri Danışmanlık Turizm Organizasyon ve Ticaret Ltd. Şti. (“First Edumate”) as data controller.

  • Address: Suadiye Mh. Kazım Özalp Sk. Yeşim Apt. No:30 K:2 D:5, 34740 Kadıköy / İstanbul, Türkiye
  • Phone: +90 216 368 63 68
  • Email: info@firstedumate.com

02What data we process

  • Identity and contact: full name, email address, phone number.
  • Education: the school you attend or graduated from, the level of study you are interested in.
  • Event records: your invitation and QR code, the time you entered the event, the universities that scanned your QR code, and those universities’ representatives’ notes and ratings of the meeting.
  • Images and voice: you may appear in photos and videos taken at the event.
  • Consent records: when you acknowledged this notice, whether you agreed to commercial messages, and when.
  • Your messages with universities: the questions you send from your account to universities that scanned your QR code at the event, their representatives’ answers, and when they were sent.
  • Student account: when your account was opened, activated and last signed in to, and your open sessions (with device and IP address). Your password is kept only as a one-way hash; nobody, including us, can see it.
  • Security and device data: IP address, approximate location based on it (country, city), device type, operating system, browser, screen size, browser language and time zone.
  • Visit statistics: the link or campaign that brought you to the site and the pages you open (Google Analytics), when you allow it or confirm on the registration form that you have read the Privacy and Cookie Policy.

03Why, and on what legal basis

  • To take your registration, email your invitation and QR code, open a student account where you can reach your invitation and details, let you into the event and keep you informed about it (such as changes of time, place or programme): necessary to set up and perform your participation (KVKK Art. 5/2-c).
  • To connect you with the universities you choose to meet at the event: your explicit consent (see “Who we share it with”).
  • To let you send questions from your account to the universities you met at the event and show you their answers: performing this service you use (KVKK Art. 5/2-c); passing questions and answers to a university abroad rests on the explicit consent you give by sending the question.
  • To prevent fake and automated registrations, keep our systems secure, measure the event’s capacity and success and plan the next one: our legitimate interest (KVKK Art. 5/2-f). Reports only ever use totals.
  • To document and promote the event with photos and video (uniqfair.com, our social media accounts and our ads): our legitimate interest (KVKK Art. 5/2-f). General shots are taken in the hall and shared areas. If you would rather not appear, tell the film crew or the staff at the entrance; to be removed from a published image, write to us.
  • To meet our legal obligations and requests from authorised public bodies: KVKK Art. 5/2-ç.
  • To send commercial electronic messages about study opportunities, scholarships and new events: only if you have separately agreed to it.

Your data is collected electronically and automatically, through the registration form and the systems used on the event day.

04Who we share it with

  • The universities that scan your QR code: when you let a university representative scan your QR code at the event, that university sees and may keep your name, email, phone number, school and level of study so that it can contact you about studying there. Most participating universities are in the United Kingdom, so this is a transfer abroad. It is based on the explicit consent you give by having your code scanned and is occasional in nature under KVKK Art. 9. It is limited to the universities you let scan it; nothing is shared with any university that did not. Each university processes this data under its own privacy policy.
  • The universities you send questions to: a question you send a university from your account goes to that university’s representatives with your name and registration details, and their answers are shown to you. You can only write to universities that scanned your QR code at the event; this too is an occasional transfer abroad that you start (KVKK Art. 9).
  • Our service providers (data processors): the website and database run on our servers in Türkiye. Invitation and information emails are sent through Twilio SendGrid (USA). Site traffic and form security run through Cloudflare (USA). They receive only what the job needs, with the safeguards required by KVKK Art. 9.
  • First Edumate’s authorised staff working on this event, as far as their role requires. Only our authorised administrator can read the content of messages, for complaints and misuse; every viewing is logged.
  • Social media and advertising platforms (Meta, Google and YouTube; USA): event photos and videos are uploaded to them when we publish them.
  • Authorised public bodies, only where the law requires it.

05How long we keep it

  • Registration, invitation, entry and meeting records: 1 year from the event date, then deleted or anonymised.
  • Messages with universities: sending questions and answers closes 15 days after the event; messages are kept with your registration, for 1 year from the event date.
  • Student account: deleted when the last registration in it reaches the end of its keeping period. You can also delete it yourself at any time.
  • Consent to commercial messages: until you withdraw it. The record of your withdrawal is kept for 3 years, as the law requires.
  • Event photos and videos: for as long as we use them to promote our events. If you ask, we take an image down from our site and accounts and don’t use it in new content.
  • Nightly database backups: 7 days.
  • University representatives’ accounts are closed about 15 days after the event.

06Your rights

Under KVKK Art. 11 you can ask us:

  • whether we process your personal data and, if so, for information about it,
  • why we process it and whether it is used for that purpose,
  • who it has been transferred to, in Türkiye or abroad,
  • to correct it if it is incomplete or wrong, to delete or destroy it under the conditions of KVKK Art. 7, and to tell those it was transferred to about the correction or deletion,
  • to object to a result against you that comes solely from automated analysis,
  • to compensate any damage you suffer from unlawful processing.

On your student account’s “Account and privacy” page you can correct your details, download a copy of the data we keep about you, and delete your account together with your invitation and event records.

Send your request from the email address you registered with to info@firstedumate.com, or in writing to the address above. We reply within 30 days, free of charge as a rule.

If you are under 18, please read this notice with a parent or guardian before registering.

Privacy and Cookie Policy

This policy explains how uniqfair.com protects your privacy and what it keeps in your browser. For why your personal data is processed and what your rights are, see the KVKK Privacy Notice.

01In short

  • The site has Google Analytics, Google Tag Manager and Meta Pixel; they set cookies only if you allow them. Without your permission Google receives only cookieless counting signals that do not identify you (Google Consent Mode).
  • The public part of the site sets no cookies of its own.
  • We ask your permission for three things: noting which link brought you here and counting how you use the site, showing the venue map from Google Maps, and measuring how many people our Meta and Google ads bring to the site and to registration. If you allow ad measurement, when you register a scrambled (SHA-256 hashed) copy of your email address and phone number, your IP address and browser details are sent to Meta and Google; this transfer abroad rests on your explicit consent, and you can withdraw it at any time in the cookie settings. Ticking the “I have read” box on the registration form gives all three permissions.
  • We never sell your data or share it with anyone for advertising.

03Third-party services

  • Cloudflare (USA)

Protects the site from attacks and makes it load fast. On suspicious traffic it may set short-lived security cookies (e.g. __cf_bm).

    Type: Necessary

  • Cloudflare Turnstile (USA)

Protects the registration form from automated (bot) sign-ups. It reads technical signals from your browser to check.

    Type: Necessary

    Type: External content (with permission)

  • Google Analytics (Google)

  • Meta Pixel (Meta Platforms)

Measures the visits and registrations our Meta ads bring; sets the _fbp cookie (3 months). Loads only if you allow ad measurement.

  • Google Tag Manager and Google Ads (Google)

Measures the registrations our Google ads bring. It is on the page, but without your permission Google sets no cookies and processes no ad data (Google Consent Mode); advertising cookies are used only if you allow ad measurement.

    Type: Ad measurement (with permission)

Links to our social media accounts are plain links; nothing loads from those sites unless you click.

04Changing your choices

Confirming on the registration form that you have read this policy also gives both of these permissions (visit source and venue map).

Use “Cookie settings” at the very bottom of the page to change or withdraw your permissions at any time. You can also delete or block cookies and site data in your browser settings; if you block the necessary ones, the registration form may not work.

05How we protect your data

  • Every connection between you and the site is encrypted (HTTPS).
  • Only authorised staff can see registrations. Every screen and action is checked against the person’s role, and university representatives only see the students they met.
  • Sign-in attempts are rate-limited and the registration form is protected from automated sign-ups.
  • Passwords are kept as one-way hashes. A student account is activated only through a single-use link sent to your email; someone who scans your QR code cannot get into your account.
  • The database is backed up every night and backups are kept for 7 days.

06Changes and contact

We update this policy when needed; the current version is always on this page. Questions: info@firstedumate.com · +90 216 368 63 68.
