Representative guide

At UniQ you record the students who visit your stand with this system: scan the QR code on the student’s invitation, their details open, and you add your note and rating. After the event you download your list as an Excel file. Nothing to install: your phone’s or laptop’s browser is all you need.

01Getting started

  1. 1Go to uniqfair.com/login. Your username is your email address; your one-time password was emailed to you.
  2. 2Choose your own password at the first sign-in (at least 10 characters).
  3. 3Pick the language with the flags at the top; your choice is remembered.

Signing in once on the morning of the event is enough: you stay signed in all day (16 hours; it closes after 8 hours without use).

Set a longer screen lock time on your phone and turn off battery saving; while the page is open it stays in step with your other devices.

02Scanning a student

  1. 1Tap “Scan QR”. The first time, the browser asks for the camera: choose “Allow”.
  2. 2Bring the invitation QR code on the student’s phone (or printout) into the green frame. When it’s read, the phone vibrates and the student’s profile opens.
  3. 3Scanning the same student again is fine: no new record is made, your existing meeting opens.

If the QR won’t scan (cracked screen, glare), type the 8-character short code from the invitation into the short-code boxes. No need to type the dash, it’s added for you; the student opens when you type the eighth character. Codes never contain 0, 1, I, L or O; if you think you see one, look at that character again.

With a USB barcode scanner on a laptop, click the short-code boxes and scan the QR; the scanner types the link and the student opens.

If you scan with your phone’s own camera or another QR app (such as uniqr), the link opens in a browser. In the browser where you’re signed in, the student opens straight away. In an app’s built-in browser, sign in the first time with the “Event staff? Sign in” link; later scans remember it.

After 10 wrong short codes in a row, the account can’t scan for 10 minutes. This stops anyone guessing codes.

03The meeting screen

You see the student’s name, school, programme level, email address and phone number. Tap the email or phone to write or call directly.

The rating shows how serious a prospect the student is. The stars have fixed meanings so everyone uses the same scale:

  • Just stopped by, took a brochure
  • Asked general questions
  • Interested, still comparing options
  • Serious: has a target programme
  • Ready to apply: programme, intake and budget are clear

Your note saves as you type. Write whatever will help your follow-up: programme of interest, preferred intake, scholarship questions, IELTS status.

  1. 1When the conversation is over, tap “End conversation”: the note and rating are saved at once, you’re back at your list and a “saved” confirmation shows at the top.
  2. 2On a phone the camera opens by itself for the next student; on a laptop your list opens.

Scanned the wrong student? Tap “Remove from my list” at the bottom of the meeting screen; the note and rating are deleted too.

04Working with two devices (phone + laptop)

The easiest set-up at a busy stand: the phone scans, the laptop is the screen.

Phonescans the QR
Laptopopens the profile, you type the note
  1. 1Sign in with the same account on your phone and your laptop. Each device has its own session; one doesn’t sign the other out.
  2. 2Scan the student on the phone. Their profile opens on your laptop by itself within a second or two.
  3. 3Type the note comfortably on the laptop, give the rating, tap “End conversation”.

If you scan a new student on the phone while typing on the laptop, the page you’re typing on doesn’t change; a “New student: …” banner appears at the top. Finish your note, then tap “Open”.

Don’t type the note for the same meeting on two devices at once: the last text saved wins.

A tablet or laptop works on its own too: scan with its camera if it has one, or type the short code or use a USB barcode scanner.

05Lists and Excel

  • My meetings: the students you scanned. Only you can change their note and rating.
  • My school’s representatives: if the organisers turned on the shared list for your school, the meetings of other representatives from it. It shows who met them; read-only.
  • Shared with me: meetings of representatives who accepted your share request (or whose request you accepted); read-only.

Search by name, school or note, and sort by newest or highest rating.

“Export to Excel” downloads every meeting you can see, with the students’ contact details, notes, ratings and who met them.

06Sharing with another representative

  1. 1In “List sharing”, type the other representative’s email address and tap “Request sharing”.
  2. 2They see the request on their screen and accept it. From then on you both see each other’s meetings under “Shared with me”.
  3. 3End it any time with “Stop sharing”.

For security, the system doesn’t say whether the address you typed has an account; the request always shows as sent. Double-check the address.

07If the connection drops

The venue connection may weaken now and then. QR codes you scan and notes you type while offline wait on your device; the screen says they’ll be sent when the connection is back. Once it’s back, they’re all sent by themselves.

Waiting records live in that browser: until the connection is back, don’t clear browsing history or site data, and don’t use a private tab.

08After the event: student questions

Students whose QR code you scanned can ask your university questions from their accounts after the event.

  • You get an email when a question arrives (at most one an hour; it lists every question waiting).
  • Questions are under “Student questions” on your home screen; those waiting for an answer are on top, in yellow.
  • A student can’t ask again until their question is answered, and can ask your university at most 5 questions. When you answer, the student is told by email.
  • If your university’s lists are combined, you see and can answer questions from students another colleague scanned.

Sending questions and answers closes 15 days after the event, on 22 November 2026.

09Privacy and security

  • You only see students whose QR was scanned at your stand; there is no way to reach other students.
  • Use students’ details only to follow up on your UniQ conversation, and don’t share them with others.
  • Your notes and ratings can also be seen by the UniQ organising team.
  • If you lose your phone, sign in on another device and tap “Sign out everywhere”, or tell the organisers.

10Troubleshooting

  • Camera doesn’t start: allow camera access for the browser. On iPhone: Settings › Safari › Camera › “Allow”; on Android: in Chrome, the lock icon in the address bar › Permissions › Camera. If it still won’t work, type the short code.
  • “Not found”: check the short code again (0, 1, I, L and O are never used). If it still isn’t found, the student may have registered with another email; send them to the organisers’ desk.
  • “You’ve been signed out”: sign in again at uniqfair.com/login.
  • Forgot your password? The organisers will email you a new one-time password.
